We collect only the information required to assess suitability, manage tenancies, or facilitate legal property transfers:
Identity Information: Full names, Identity/Passport numbers, and copies of identity documents (classified as Special Personal Information).
Contact Information: Mobile/WhatsApp numbers, email addresses, and residential addresses.
Financial & Employment Information: Employer details, payslips, bank statements, and credit history.
Tax Information: SARS tax numbers (essential for property sales and transfer duty).
Academic Information: University registration and funding/bursary details for student occupants.
Technical Data: IP addresses, cookie identifiers, and usage data collected via our website, Meta Pixel, and Google Tags.
3. HOW WE USE YOUR INFORMATION
Your information is processed for the following purposes:
Vetting: To conduct credit and background checks via registered bureaus (e.g., TPN).
Contracting: To prepare Lease Agreements or Offers to Purchase (OTP).
Property Transfer: To provide necessary data to appointed Conveyancing Attorneys for sales.
Communication: To contact you via WhatsApp, SMS, or Email regarding your application or tenancy.
Marketing & Optimisation: To improve our advertising reach and ensure our property offers are relevant. We use tools such as Meta Conversions API (CAPI) and Google Analytics to monitor the effectiveness of our campaigns.
Legal Compliance: To maintain records for SARS and statutory record-keeping.

Credit Bureaus: Registered bureaus (like TPN) to assess risk and report on payment behaviour.
Attorneys (Sales Only): Conveyancing attorneys to process property transfers.
Maintenance Contractors: To facilitate essential repairs at the premises.
Digital Platforms: Secure cloud-based management systems, as well as advertising platforms (Meta and Google) used to manage and optimise our lead generation.
6. TRANS-BORDER DATA FLOWS
Some of our digital service providers may host data on secure servers located outside of South Africa. We ensure that these providers adhere to high standards of data protection that are compatible with the requirements of POPIA.
7. DATA RETENTION
Tenants & Buyers: We retain records for five (5) years after the relationship ends for tax and legal purposes.
Unsuccessful Applicants: Personal information provided by unsuccessful candidates will be destroyed or de-identified within six (6) months.
8. YOUR RIGHTS
Under POPIA, you have the right to access, correct, or request the deletion of your data (subject to our legal retention obligations). You may also object to direct marketing at any time by replying "STOP" to our messages or using provided opt-out links.

We implement strict technical and organisational measures, including secure digital storage and access controls, to protect your information against unauthorised access, loss, or theft.
